Contract Details:

This contract entitles you to a 10' x 8' exhibit booth including: 8' high pipe and flame resistant fabric backdrops; 3' high pipe and flame resistant fabric side rails; carpeting; a booth sign with your company name; one six foot draped table and two chairs. Additional furnishings will be available, at an additional charge, through HOLLINS Exhibits if desired. Information about this will be included in the Exhibitor Services Kit, which will be sent to contracted exhibitors no later than October 1.

Neither the Virginia Health Care Association and its representatives or employees of The Hotel Roanoke & Conference Center and their representatives will be responsible for any injury, loss or damage that may occur to the exhibitor or the exhibitor's employees or property from any cause whatsoever. The exhibitor, or his representative, on signing this contract expressly releases the foregoing named Association, individuals, decorator, and center from any and all claims for such loss, damage or injury.

Health and Safety Protocols:

Ensuring the well-being of our attendees, exhibitors, presenters, and staff is of paramount importance and a shared responsibility. VHCA-VCAL requires all attendees follow any federal, state, or local health and safety standards after your registration and up to and through the end of the Fall Summit & Expo. In our continuing efforts to ensure the health and safety of all present at the VHCA-VCAL Fall Summit & Expo and the Managing Medicare Managed Care Intensive, all attendees, exhibitors, and presenters will be required to provide proof they are fully vaccinated against COVID-19. (To be considered fully vaccinated, you must be two weeks past your second dose in a two-dose series (Pfizer or Moderna) or two weeks past a single-dose vaccine (J&J/Janssen)).

Fully vaccinated attendees may email proof of vaccination to linda.pretlow@vhca.org at any time, but no later than 72 hours prior to the event. After that, you must show proof of being fully vaccinated when picking up your registration badge. You can easily access a certificate of vaccination at the VDH COVID-19 vaccination record portal. Photo or paper documentation is acceptable. Once vaccination status is verified, fully vaccinated attendees need not show proof at future events. This policy is subject to revision pending changes to federal or state guidelines regarding booster shots.

Please note that per CDC and VDH guidance, even individuals who are full vaccinated should wear a mask indoors in public in areas of substantial or high transmission. At present, nearly every locality in Virginia meets the definition of “substantial or high transmission.” VHCA-VCAL will monitor this guidance for any changes.

The association requires that anyone who experiences COVID-19 symptoms or has been exposed to a COVID-19 positive individual within the last 14 days prior to their attendance, stay home to avoid the risk of infecting others.

All attendees should practice proper hand hygiene throughout their time at the event.
